How to manage the gradebook using exams with multiple proctoring methods
Gradebook Setup
To ensure a smooth grading experience, instructors must set up their Canvas Gradebooks before students begin taking exams.
First, gather a list of students who take exams in the testing center and off-campus, either in-person or virtually. Approvals and denial emails are sent regularly to you as student submissions are reviewed. You can use these emails to help ensure you have the correct information.
Next, navigate to the Canvas Gradebook, where you must excuse each student from the exam versions they are not approved to take. This can be done manually or semi-automatically.
Manually: Consult your list and enter “EX” in the Canvas Gradebook for each exam they are not going to take. This will excuse them from the versions that do not apply to their selected proctoring method. Leave the cell blank in the grade column associated with the exam that students must take.
Semi-automatically:
- Export the course gradebook.
- Open the exported CSV file in Excel.
- Retain the student record columns and the columns for each exam version; delete all other columns to minimize distraction.
- For each student, leave the cell corresponding to their assigned exam version blank. Enter “EX” in the cells for all other versions.
- Save the edited file in CSV format.
- Import the CSV file back into the Canvas Gradebook.
- In the Canvas Gradebook, visually confirm that each student has only one blank exam cell: it must correspond to the exam version they are approved to complete. The other two versions must contain “EX”.
